Document Reviews: the Key to Quality

Early and ongoing reviews are essential for document quality. I state this in all Shipley Group writing workshops, including the one I recently taught for the Corps of Engineers in Alaska. The participants agreed with my statement but did comment that recent U.S. Army Corps of Engineers (USACE) guidance already required extensive and multiple reviews.
The following newsletter does not summarize all major points from the EC 1165-2-209. Instead, my purpose is to highlight several of the USACE review recommendations that would be helpful for writers of any important document.

Climate Change Adaptation Task Force – Interim Progress Report
On March 16, 2010, the Task Force released an Interim Progress Report which outlines the Task Force’s progress to date and recommends key components to include in a national strategy on climate change adaptation.

How can reviewers assist writers
to prepare concise, readable, and
legally compliant documents?
Written review comments are valuable when they follow these four suggestions:
- Praise content points or sections of draft text that merit praise and explain why you feel these features merit praise.
- Make comments that match the writers’ suggestions as to what comments would help them the most.
- Record and track comments so that writers can figure out who made which comment and what the status of the comments are.
- Distinguish between comments that are personal preferences and those that are errors.
